What we collect about you and your child, why, where it goes, and how to get it deleted. Written to be read, not skimmed.

Who we are

Kubly is a trading name of KUBLY LTD, a company registered in England and Wales (company number 17512828), whose registered office is Suite RA01, 195-197 Wood Street, London E17 3NU. KUBLY LTD is the data controller for the information described here. Registered with the Information Commissioner’s Office, no. ZC272303.

If you have any question about your information, or your child's, email support@kubly.app. A person will answer.

The short version

What Kubly is and who uses it

Kubly makes personalised stories, printable colouring pages, puzzles and games, and step-by-step homework help for a child, on request. A parent or carer opens the account, adds one or more child profiles, and chooses what to make. The child may use Kubly alongside them or on their own device under their account — reading a story, tracing a maze, or typing answers to the homework tutor.

There are no child accounts. Every account belongs to an adult, and every piece of information about a child is given to us by that adult. You must be 18 or over to open an account.

When this policy says you, it means the account holder. When it says your child, it means the person a child profile describes.

What we collect

Only what is needed to run Kubly. Nothing here is inferred, bought in, or taken from other services.

Your account

Examples: Email address, password (stored only as a one-way hash by our login provider), optional name, the date you agreed to these terms, and — only if you ticked the box at sign-up — the date you asked to be kept updated about new features

Where it comes from: You, at sign-up and in Settings

Why we have it: To sign you in, send account emails (confirmation, password reset), and contact you about your account. If you asked for them, to email you about new features; one email to support@kubly.app stops those

Child profiles

Examples: First name, age, a few interests, a chosen cartoon avatar

Where it comes from: You, when you add a profile

Why we have it: So stories, activities and the homework tutor are pitched at the right age and interests

What you ask for

Examples: The theme, lesson or idea for a story; a colouring-page description; an activity theme; the homework question you type

Where it comes from: You or your child, in the app

Why we have it: To make the thing you asked for, and to improve how Kubly’s helpers work (see Your rights)

Photos you upload

Examples: A family photo for a colouring page; a photo of a homework sheet

Where it comes from: You

Why we have it: Converted into a colouring page, or read to find the homework questions. Deleted immediately afterwards

What we make for you

Examples: Story text and pictures, colouring pages, activities, homework sessions

Where it comes from: Created by Kubly at your request

Why we have it: So your child can read, print and return to them, and so we can improve how Kubly’s helpers write and make them (see Your rights)

Homework conversations

Examples: The tutor's messages and your child's typed answers, and which hints were used

Where it comes from: Your child, in a homework session

Why we have it: To run the session, so the tutor remembers where you got to, and to improve how it teaches (see Your rights)

How the homework tutor is used

Examples: Session started, question chosen, hint used, answer right or wrong, session finished

Where it comes from: Generated as your child uses it

Why we have it: To show progress within the app and to improve how the tutor teaches

Where’s Bexo progress

Examples: Which hiding spot a child is on and, for each hiding spot they have played, whether they found Bexo and which items they checked off

Where it comes from: Generated as your child plays

Why we have it: So the puzzle picks up where they left off. Stored per child, deleted with the child

Library copies

Examples: When your child opens a ready-made activity from the Activity Library, a copy of it saved to their account

Where it comes from: Created when your child opens it

Why we have it: So they can come back to it and print it like any other activity. Free, stored per child, deleted with the child

Library favourites

Examples: Which ready-made stories and colouring pages from the libraries a child has added to their favourites

Where it comes from: You or your child, when you add a favourite

Why we have it: So their favourites are easy to find again. Stored per child, deleted with the child

Safety records

Examples: That an idea was flagged or refused, and which category — recorded as a cryptographic hash of the text, not the text itself; that a parent PIN was used to approve something; failed PIN attempts; anything you report to us

Where it comes from: Generated by our safety checks, or by you

Why we have it: To handle complaints, to tune the checks, and so a pattern of PIN guessing is visible

Parent PIN

Examples: A four-digit PIN, stored only as a one-way hash

Where it comes from: You, when you set it

Why we have it: To confirm a parent, not a child, approved something we flagged. We cannot read it back; it can only be reset

Plan and credits

Examples: Your plan, its status, your billing currency, your credit balance and history, your referral code and any rewards. Stripe also holds the billing address you give at checkout; we read back only the country, for tax and to see where our families are

Where it comes from: Our systems and Stripe

Why we have it: To know what you can make, to bill correctly and to charge the right tax. We never see or store your card number

Technical records

Examples: Login cookie, a referral cookie if you arrived through a friend's link, server logs of requests (time, route, result)

Where it comes from: Your browser and our servers

Why we have it: To keep you logged in, to credit referrals, and to keep the service running and secure

Error reports

Examples: When something in Kubly breaks: what the error was, the page or route it happened on, your browser type, and a scrambled account reference. Never the story, picture, prompt, photo or your child’s name

Where it comes from: Your browser and our servers

Why we have it: To find and fix faults

How Kubly is used

Examples: Which pages of the app are opened and what kinds of things are made: that a story was created and its format, that a colouring page or activity was made, that a page was printed or saved as a PDF, that a plan was chosen or cancelled. Recorded against a scrambled account reference, with your browser type. Never the story, picture, idea, photo, your email or your child’s name. On our public pages, and only if you accept the cookie banner: which pages you read, where you arrived from (a search engine, a link, a campaign), and — later — anonymised recordings of those pages with all text and typing blanked out

Where it comes from: Generated as you use the app, or read our public pages

Why we have it: To see which parts of Kubly are useful and where parents get stuck, so we can improve it

We do not collect location, contacts, precise device identifiers, or anything from your child's other apps. There is no advertising and no tracking for advertising.

The AI part, plainly

Kubly does not have its own AI. When you ask for something, we send the request to two specialist services, and their answer becomes your story, picture, activity or homework hint.

Anthropic (the makers of Claude) writes the words: stories, activity content, the homework tutor's messages. It also reads homework photos to find the questions, and runs the safety check on every idea and photo before anything is made.

fal.ai draws the pictures: story illustrations and colouring pages, including turning an uploaded photo into a colouring page.

What each of them sees is the minimum needed for that one request:

Neither service sees your email address, your name, your account or your payment details. Neither may use what we send to train its models: Anthropic's terms say so outright, and fal.ai's licence over what we send is limited to providing its service, though fal.ai may use anonymised, aggregated usage statistics to improve that service. Both are in the United States; see Where your information is kept for how that transfer is covered.

Every request is checked before it is sent. An automated check reads the idea (or photo) and decides whether it is fine, needs a parent's say-so, or should not be made at all. Nothing is reviewed by a person. If the check is unsure — a story about a pet dying, say — you can approve it with your parent PIN, and that approval is recorded (the category and a fingerprint of the text, not the text itself). If the check says no, nothing is made, nothing is stored and you are not charged.

Your child is told it is an AI. Bexo, the character who presents everything in Kubly, introduces itself to children as an AI helper — a computer program, not a person — on the home screen, on everything it makes for them and at the start of every homework session, and the homework tutor is instructed to say so plainly if a child asks whether it is real. A short “Using Kubly safely” note, written for children, sits in the Homework Helper.

The AI can still get things wrong. Stories may contain mistakes; a homework hint may be off. Please read what Kubly makes before your child does, the way you would with anything from the internet. What you type is your responsibility — Kubly makes what it is asked for, within the checks above.

Children

Kubly is made for children to use, so we follow the ICO's Age Appropriate Design Code (the Children's Code). What that means in practice:

We have carried out a data protection impact assessment for Kubly, because it processes children's data. A summary is available on request.

Who we share with

We do not sell information, and we do not share it with advertisers or data brokers. The companies below process information on our instructions, under contracts that limit what they can do with it, and only for the purpose stated.

Supabase

What they do for us: Runs our database, logins and file storage

What they see: Everything in your account

Where: EU (Frankfurt)

Anthropic

What they do for us: Writes text, reads homework photos, runs the safety check

What they see: Child's first name, age and interests; the idea or question; the photo; the homework conversation

Where: United States

fal.ai

What they do for us: Draws story pictures and colouring pages

What they see: The picture description; an uploaded photo when making a colouring page from it

Where: United States

Stripe

What they do for us: Takes payment for plans and credits

What they see: Your email address, your billing address and your payment details (which Stripe holds, not us)

Where: United States, with EU operations

Railway

What they do for us: Hosts the Kubly server

What they see: Requests pass through it; nothing is kept there beyond short-lived operational logs

Where: United States

Vercel

What they do for us: Hosts the Kubly website

What they see: Requests pass through it

Where: United States, with EU edge locations

Sentry

What they do for us: Tells us when something breaks

What they see: The error, the page or route it happened on, your browser type, and a scrambled account reference that we can match to you but Sentry cannot. Never what you or your child typed or made

Where: EU (Germany)

PostHog

What they do for us: Counts how Kubly is used

What they see: Which pages of the app are opened and what kinds of things are made, your browser type, and a scrambled account reference that we can match to you but PostHog cannot. With your consent on our public pages: which of those pages you read and where you arrived from, and — later — anonymised recordings of them with every word blanked out. Never what you or your child typed or made, never your email or your child’s name, and never a recording inside the app

Where: EU (Germany)

We would also disclose information if the law required it — a court order, say — or if it were necessary to protect a child from serious harm. Neither has happened.

If Kubly were ever sold or merged, your information would go with it, under this policy, and we would tell you beforehand.

Where your information is kept, and for how long

Where. Your account, your children's profiles and everything Kubly has made for you are stored with Supabase in Frankfurt, Germany, inside the EU. The AI services are in the United States. When we send them a request, it is covered by the UK's data bridge to the US and by standard contractual clauses in our agreements with them, and each holds what we send only long enough to answer (Anthropic for up to 30 days for abuse monitoring, then deleted).

For how long

Uploaded photos (colouring, homework)

Kept until: Deleted the moment the page or the questions have been made from them — seconds, not days. A photo that fails the safety check is never stored at all

Stories, colouring pages, activities, homework sessions

Kept until: You delete the item, the child’s profile it was made for, or your account

Child profiles

Kept until: You delete the profile, or the account. Deleting a profile deletes everything made for that child, pictures included

Homework conversations and progress

Kept until: Kept with the session, so the tutor can pick up where it left off and so we can improve how it teaches (see Your rights)

Where’s Bexo progress

Kept until: With the child’s profile; deleted with the child

Library copies

Kept until: Like any activity: until you delete it, the child’s profile or your account

Library favourites

Kept until: Until the favourite is removed; deleted with the child

The tutor’s working notes — what it was told and what it decided at each step

Kept until: Your child's words are removed after 30 days; the tutor's own decisions are deleted after 180 days. Automatic, nightly

Safety records (flags, refusals, PIN approvals, reports)

Kept until: While your account is open, so we can answer a question about something that was or was not made

Failed parent-PIN attempts

Kept until: 90 days

Error reports (Sentry)

Kept until: 30 days

Usage records (PostHog)

Kept until: 12 months

Public-page recordings (PostHog), when we start making them

Kept until: 30 days

Your account, plan and credit history

Kept until: Until you delete your account. Records we must keep for tax purposes (that a payment happened, not what you made) are kept for six years by Stripe and in our billing records

A one-way coded version of your sign-up email (free welcome credits)

Kept until: Kept after you delete your account, so free credits cannot be claimed more than once. It cannot be turned back into your email and is used only for that check

Deleting your account. Settings → Account → Delete account removes your account, every child profile, everything made for them, the homework records and the safety records, in one step. It cannot be undone. Your subscription is cancelled at the same time. Stripe keeps the payment records the law requires. To stop free credits being claimed more than once, we keep a one-way coded version of your email address after you delete your account. It can't be turned back into your email, and we use it only for this check.

Your rights

Under UK data protection law you can:

We answer within one month. We will ask you to confirm you are the account holder before acting on a request — usually by replying from the account's email address.

The legal bit. We process your information because we need to in order to provide Kubly to you (performance of a contract); to keep the service safe and secure, to handle complaints, to improve Kubly's helpers by reviewing anonymised sessions and to understand how Kubly is used (our legitimate interests, weighed against your child's, and never in a way that overrides them); and where the law requires it (tax records). For counting visits to our public pages we rely on your consent, given on the banner and withdrawn just as easily with “Cookie settings”. We do not rely on consent for anything else, so there is nothing else to withdraw — but you can stop all of it by deleting your account.

Parents in the United States

If you are in the United States, the Children's Online Privacy Protection Act (COPPA) applies to the information Kubly holds about your child. This is how Kubly meets it; the rest of this policy is the detail.

Questions, requests or complaints about your child's information: support@kubly.app. We answer within one month.

Security

Everything travels over encrypted connections and is stored encrypted at rest. Passwords and the parent PIN are stored as one-way hashes; we cannot read either. Each account can only ever read its own rows in the database — that is enforced by the database itself, not just by the app. The keys that let our server talk to the database and the AI services are never present in the app your browser runs. Access to production systems is limited to the people who run Kubly, and every action the server takes on your behalf is tied to your signed-in session.

If we ever had a breach that put your information at risk, we would tell you within 72 hours of finding out, and tell the ICO.

Cookies and things stored in your browser

We use no advertising cookies and no third-party trackers. Our public pages set one analytics cookie only if you accept the banner there; inside the app we count how Kubly is used without setting any cookie — nothing is stored on your device for it (our Cookie notice explains both). What we do store:

sb-*-auth-token

What it is: Keeps you logged in

How long: Until you log out

kubly_ref

What it is: Remembers whose referral link you arrived from, so they get their reward when you subscribe

How long: 30 days

kubly_currency

What it is: The currency you chose for prices

How long: 1 year

kubly_geo_currency

What it is: The currency first shown to you, from the country your connection appears to be in; the country is not kept

How long: 30 days

kubly_consent

What it is: Your answer to the banner on our public pages

How long: 12 months

Browser storage (no cookie)

What it is: Small settings on that device only: scavenger-hunt ticks, which child profile you had open, your print paper size, a scene’s sound setting

How long: Until you clear your browser

Because none of these is used to track you across sites or for advertising, there is no banner inside the app. The banner on our public pages is the only place we ask; it asks before anything is set, and “Cookie settings” at the foot of those pages lets you change your answer at any time.

Changes to this policy

When we change something that matters — a new service that sees your information, a change to what we collect or how long we keep it — we will email the account holder before it takes effect and put the date at the top of this page. Small wording changes we will just make. Previous versions are available on request.
